At Totally Vacations, getting to know what matters to you helps us plan more personal travel experiences. We also understand that some of the details you share are private. This policy explains how we handle information submitted through the Totally Vacations Qualification Center at qualify.totallyvacations.net.
Who we are and how to contact us
Totally Vacations provides personalized travel-advisor services. For questions about this policy, or to request access to, correction of, or deletion of information you have submitted, please email info@totallyvacations.net.
Information we collect
When you complete a qualification questionnaire, we may collect:
- Your name, optional partner name, email address, optional phone number, preferred contact method, and preferred contact time.
- Your honeymoon or vacation interests, travel timing, budget range, destination ideas, and preferences for resorts, cruises, activities, and accommodations.
- Details you voluntarily share about accessibility needs, mobility considerations, dietary preferences, food allergies, or other travel requirements.
- Your responses to the inquiry-contact consent and optional travel-marketing consent questions.
We ask only for information that helps us understand and respond to your travel inquiry. Please do not include medical diagnoses, detailed medical histories, passport numbers, or payment card information in these questionnaires.
Our hosting and security systems may also process technical details needed to operate and protect the website, such as connection information, server logs, and a pseudonymous identifier used to limit repeated login attempts or submissions.
How we use your information
We use information submitted through the Qualification Center to:
- Review your inquiry and understand what kind of vacation would be a good fit.
- Contact you using the method you selected and discuss possible next steps.
- Research options or accommodations you have asked about, including accessibility features that may need direct supplier verification.
- Manage inquiry status, advisor notes, follow-up, and related business records.
- Maintain website security and prevent misuse.
Submitting a questionnaire does not book travel or require you to purchase anything. We do not add you to promotional travel emails just because you submit an inquiry. Marketing communications require a separate, optional opt-in, and opting in does not itself enroll you in a separate mailing platform.
Who can access or receive information
Authorized Totally Vacations advisors can review your answers through a password-protected advisor area. Our website hosting, database, and email service providers may process information as necessary to provide their services, subject to their own security and contractual arrangements.
We do not automatically send your full questionnaire responses to cruise lines, resorts, tour providers, or other travel suppliers when you submit the form. If you decide to work with us on a quote or booking, we may need to share relevant details with selected suppliers to research or arrange your trip. We will discuss those arrangements with you as planning progresses, particularly where accessibility or dietary details are involved.
New-inquiry notification emails sent to our agency inbox contain an inquiry reference and a secure dashboard link, not your full answers.
We do not sell questionnaire responses or use the Qualification Center to share them for targeted advertising.
Cookies and website security
We use an essential cookie to remember your progress as you complete our travel questionnaires and help keep your information secure. This cookie also supports secure advisor access. It is not used for advertising or marketing purposes.
Your unfinished answers are kept temporarily while you complete the questionnaire. They are not stored as completed inquiries in our database unless you select the final submission button. If your session expires, you may need to start again.
After submission, your completed answers are saved in our MySQL database on our hosting environment. We use HTTPS, restricted administrative access, and security controls to help protect information. No internet transmission or storage system can be guaranteed completely secure.
How long information is kept
We keep active inquiries while we are assisting you. For inactive inquiries that do not result in a booking, our policy is to review and delete the active database record after approximately 12 months without meaningful activity, unless there is a valid business or legal reason to keep it longer. This review and deletion is manual, not automatic. Records connected to booked travel may be retained longer to satisfy business and legal recordkeeping needs. Deleted submissions may remain for a limited time in hosting backups, technical logs, or previously delivered notification emails under the applicable retention cycles.
If you would like us to review or delete information from an inquiry that is no longer needed, email info@totallyvacations.net. Some information may need to be retained when legally required or for an ongoing business transaction.
Your choices and requests
You may decide not to answer optional questions, including questions about dietary or accessibility considerations. You may also decline the optional marketing checkbox and still submit an inquiry. To ask what information we hold about your inquiry, correct it, or request its deletion, contact us at info@totallyvacations.net. We may need to verify that a request concerns your own information before taking action. Additional privacy rights may apply based on where you live.
Outside websites and affiliate links
Our pages may link to the main Totally Vacations website or to independent travel-related sites, including excursion and resort day-pass services. Some links are affiliate links, which may earn Totally Vacations a commission at no additional cost to you. Clicking an outside link takes you to a website with its own privacy practices. Please review the other site's privacy policy before sharing personal information there.
Age requirement
The Qualification Center is intended for adults age 18 or older. Our questionnaire asks visitors to confirm they are at least 18 before submitting an inquiry. We do not knowingly seek questionnaire submissions from children.
Changes to this policy
We may update this policy as our services, questionnaires, or data practices change. When we make changes, we will update the effective date shown at the top of this page. Material changes to how information is used may require additional notice or consent where applicable.
